Microsoft Entourage Configuration

Microsoft Entourage is an email and personal information manager for Macintosh that supports Microsoft Exchange Server, the core messaging and collaboration system in use at the University of Kansas. What follows are instructions for configuring Entourage to operate with the KU Exchange Server system.

Important Version Information

These instructions refer to Microsoft Entourage 2004 with Service Pack 2 (identified as version 11.2.x). It is strongly recommended that you use the latest version of Entourage. Versions of Entourage prior to 2004 are not able to connect to the KU Exchange Server system due to their reliance on older and less secure forms of user authentication, and 2004 versions prior to Service Pack 2 do not fully support all Exchange Server features.

Availability

Entourage is included as part of Microsoft Office 2004, which is available commercially. If you have Office 2004 do not use the KU distribution of Entourage, but instead run AutoUpdate [see Keeping Entourage Up to Date, below] to upgrade to the current version before configuring. To determine if you have Office 2004, open the Applications folder and look for a Microsoft Office 2004 folder.

For those who do not have Office 2004, Entourage 2004 version 11.2.1 is available as a free download for KU students, faculty, and staff. A CD-ROM is also available at the IT Help Desk, Room 204 Computer Center.

License

Only current faculty and staff and currently-enrolled students at the Lawrence or Edwards campus of the University of Kansas may install Microsoft Entourage, for use with the KU email system, on a University-owned computer and/or a home computer that they own or lease. Upon leaving the University, said individuals are required to remove the Microsoft Entourage software from their home computers.

System Requirements

  • PowerPC G3 or higher processor
  • Apple Mac OS X version 10.2.8 or later
  • 256 MB or more of RAM
  • 360 MB or more of available hard disk space

Installation

To install Entourage using the KU distribution (either download or CD-ROM), drag the Microsoft AutoUpdate and Microsoft Office 2004 icons to your Applications folder.

Configuration

To configure a new account or a new installation of Entourage, follow the instructions under New Account below. To edit the configuration of an existing account, follow the instructions under Edit an Existing Account, below.

New Account:

  1. Open Microsoft Entourage (typically found in /Applications/Microsoft Office 2004).

  2. If this is a new installation, the Entourage Setup Assistant window should appear automatically.

    If so, go on to step 3; otherwise, skip to step 4.
  3. Make the desired selection regarding importing information from other programs and click the right arrow , then skip to step 7.
  4. On the Tools menu, click Accounts.

  5. Click the Exchange tab.
  6. Click the New button New button.
  7. Enter your email address in the E-mail address field.
  8. Check the My account is on an Exchange server checkbox.
  9. Enter your username in the User ID field (which appears when you check the checkbox).
  10. Enter home.ku.edu in the Domain field.
  11. Enter your password in the Password field.

  12. Click the right arrow right arrow. Entourage will attempt to determine additional configuration information from Exchange Server automatically. This can take several minutes.

  13. Click the right arrow in the Automatic Configuration Failed window. (This response is expected, and does not indicate a problem.)
  14. Enter your name in the Your name field.
  15. Enter owa.ku.edu in the Exchange server field.
  16. Enter gc.home.ku.edu in the LDAP server field.
  17. Check the Use SSL for these servers checkbox.

  18. Click the right arrow.

  19. Click the Verify My Settings button.

  20. When you see Your account settings have been successfully verified, click the right arrow.
  21. Enter the descriptive name under which you would like your account to appear in the Entourage interface in the Account name field.

  22. Click Finish.

Editing an Existing Account:

  1. Open Microsoft Entourage (typically found in /Applications/Microsoft Office 2004).

  2. Open the Help menu and choose Check For Updates to update Entourage to the newest version. Once all updates have been installed, proceed to step 3.
  3. On the Tools menu, click Accounts.

  4. Click your Exchange account in the list.
  5. Click the Edit button Edit button.
  6. On the Account Settings tab, enter your name in the Name field.
  7. Enter your email address in the E-mail address field.
  8. Enter your username in the Account ID field.
  9. Enter home.ku.edu in the Domain field.
  10. Enter your password in the Password field.
  11. Enter owa.ku.edu in the Exchange server field.
  12. Check the This DAV service requires a secure connection (SSL) checkbox.
  13. Clear the Override default DAV port checkbox.

  14. Click the Advanced tab.
  15. Enter owa.ku.edu/public/ in the Public folders server field.
  16. Check the This DAV service requires a secure connection (SSL) checkbox.
  17. Clear the Override default DAV port checkbox.
  18. Enter gc.home.ku.edu in the LDAP server field.
  19. Clear the This LDAP server requires a secure connection (SSL) checkbox.
  20. Clear the Override default LDAP port checkbox.
  21. Clear the Search base field.

Notes

Keeping Entourage Up to Date

Entourage comes with a program, Microsoft AutoUpdate, which is configured by default to check for updates once a week, so you may occasionally be notified that a new update is available. It is generally recommended that you install these updates. If you want to check for updates manually at any time, you can do so from within Entourage by choosing Check for Updates from the Help menu.

PST Import

If you previously used Microsoft Outlook 2001 for Mac and you created PST files, these can be imported into Entourage using the PST Import Tool.

Troubleshooting

If Entourage attempts to synchronize your mailbox and you see an error message: "Entourage is unable to access the mail account you are using with the mail server configured for that account," you may not be using your registered email address.

You can check you registered email address at KU Online Services.

  1. Click the SIGN IN WITH YOUR KU ONLINE ID button.
  2. Sign in with your KU Online ID and password.
  3. Locate Your Registered Email address on the page. Use this address to configure Entourage.
  4. Click the Finish - Just display my current settings button.
  5. Click the Logout link on the left.
